What information we collect
– Contact details: name, date of birth, address, phone, email
– Dental and health records: treatment notes, X-rays, scans, medical and dental history, treatment plans, consent forms, correspondence with other providers
– Financial information: fees, payments, limited payment details
– Communication preferences and feedback
Why we use your information
– To provide dental care (EU GDPR Article 6(1)(b); for health data, Article 9(2)(h) – healthcare provision)
– To meet legal and regulatory requirements (Article 6(1)(c))
– To maintain quality of care, recalls, surveys and updates (Article 6(1)(f) legitimate interests). A Legitimate Interests Assessment has been completed
– If we ever wish to use your data for non-service marketing, we will ask for consent, which you can withdraw at any time
Where we get information
Mostly from you. We may also receive data from your GP, previous dentist, hospital or a dental laboratory (e.g. referral letters, medical histories, clinical notes or lab reports). When we receive information from others, we will inform you within one month, at your first contact, or before disclosure – whichever is earliest.
Sharing your information
We may share information with:
– Your doctor, hospital or other healthcare professionals
– Specialist services we refer you to
– Dental laboratories
– Private dental schemes
– Debt collection agencies, HMRC or regulators if legally required
We also use specialist dental practice management and communication software providers. These act as processors under binding agreements and comply with data protection law.

Storage and transfers
Data is stored securely within the EEA. We do not transfer personal data outside the EEA.
Retention
– Dental records: 11 years after your last visit, or until age 25 (whichever is longer)
– Financial records: 6 years
– Complaints and claims correspondence: 10 years after closure
Non-essential details may be deleted sooner on request.
Your rights
You can: access, correct, request deletion of non-essential data, object to or restrict processing, stop direct marketing, request portability, and withdraw consent (where consent is used). We do not use automated decision-making or profiling.
If you do not provide data
Some information, such as your medical history, is essential. Without it, we may be unable to treat you.
